Dentistry Conference – Terms & Conditions

These Terms and Conditions govern your participation in all Vertex Conferences events. By registering for or attending any conference (in-person, virtual, or hybrid), you confirm that you have read, understood, and agreed to the policies outlined below.

1. Acceptance of Terms

By registering and participating in our conference, you agree to comply with these Terms and Conditions. These policies apply to all participants, including:

• Delegates

• Speakers

• Exhibitors

• Sponsors

2. Registration & Payment Policy

• All registration fees are listed in U.S. Dollars (USD), Euro, GBP

• Payments can be made via:

  • Razorpay

  • Direct Bank Transfer

• Any bank fees, transaction charges, or currency conversion costs must be borne by the participant.

3. Cancellation, Refund & Registration Transfer Policy

• All cancellation requests must be submitted in writing via email. finance@quantexconferences.com

• More than 90 days before the conference start date:

  • Eligible for a full refund minus a USD 100 administrative fee.

• Within 90 days of the conference start date:

  • No refunds will be issued.

  • However, the registration may be transferred to a future edition of the conference.

• Registration transfers are allowed until the conference start date only.

• No transfer requests will be accepted after the event begins.

• Approved refunds will be processed during the second week after the conference concludes.

Exceptional Circumstances & Non-Refundable Conditions

The above refund policy does not apply in cases of event disruption due to situations beyond the organizer’s control, including but not limited to:

• Natural disasters

• Pandemics or public health emergencies

• Government regulations or travel restrictions

• War, terrorism, cyber-attacks, or civil unrest

• Power outages, strikes, or communication failures

In such cases, all paid fees will be automatically transferred to a rescheduled or future Vertex Conferences event. No refunds will be issued.

4. Force Majeure

Vertex Conferences shall not be held liable for delays, modifications, postponement, or cancellation due to events beyond reasonable control. In such situations:

• No refunds will be issued

• All payments will be transferred to a future event

5. Event Modifications

Vertex Conferences reserves the right to:

• Change speakers, agenda, topics, or session formats

• Modify the event venue or city

• Convert the event to virtual or hybrid format

All updates will be communicated via:

• Registered email

• Official website announcements

6. Travel & Accommodation Policy

• Participants are responsible for arranging their own travel and accommodation, unless otherwise stated.

• Hotel options listed on the website are for reference only.

• QUANTEX Conferences is not responsible for travel disruptions, financial loss, or hotel cancellations.

7. Code of Conduct

Vertex Conferences is committed to providing a safe, professional, and inclusive environment. All participants must:

• Behave respectfully and professionally

• Avoid harassment, discrimination, or misconduct

Violations may lead to:

• Immediate removal without refund

• Legal action where necessary

8. Limitation of Liability

QUANTEX Conferences shall not be liable for:

• Personal injury, illness, or accidents

• Loss or damage of personal belongings

• Financial losses due to delays or cancellations beyond our control

9. Photography, Videography & Media Use

By attending a QUANTEX Conferences event, you grant permission for:

• Photography, video, and audio recording

• Use of your likeness for marketing, promotions, and educational purposes

If you do not wish to appear in media, please notify us in advance.

10. Data Protection & Privacy

• All personal data is handled in accordance with our Privacy Policy.

• We never sell or share personal data for marketing purposes.

• Data may be shared with:

  • Secure payment processors 

  • Event technology and logistics partners

  • Government authorities when legally required (e.g., visa processing)

11. Participant Responsibility for Updates

Participants are responsible for:

• Monitoring the official website

• Checking registered email regularly for updates
